Kelani Active Retreat Sri Lanka Terms & Conditions
1. Agreement
Once a booking has been submitted and confirmed by Kelani Retreat, a binding agreement is formed between the participant and Kelani Retreat. The person making the booking is responsible for any additional participants they register and must ensure they are informed of and accept these Terms and Conditions.
2. Payment
The total retreat fee is due within 14 days after booking. Alternatively, participants may pay 50% within 14 days and the remaining 50% at least 61 days before the retreat start date.
For partial payment requests, please email kelaniretreats@gmail.com with the subject “Payment Plan”.
Bookings made less than 61 days before the start of the retreat require full payment immediately.
2.1 Communication
All communication, including booking confirmations and payment receipts, is conducted via email. Participants are responsible for regularly checking their inbox and spam folders.
2.2 Late Payments
If payments are delayed, a late fee of €15 may be applied. We reserve the right to cancel the booking if payment is not completed in time.
3. Special Agreements
Additional agreements or requests must be made in writing via email to be valid.
4. Amendments, Cancellations, and Refunds
4.1 Cancellation Periods (by Participant):

More than 91 days before retreat: 10% of retreat price

61–90 days: 30%

31–60 days: 50%

Less than 30 days: 100% (no refund)
Refunds may take up to 14 business days. Kelani Retreat is not responsible for bank processing times.
4.2 Early Departure by Participant
No refund will be issued for late arrival, early departure, or missed sessions.
4.3 Unused Services
No refund is granted for services not used by the participant for any reason (e.g. weather, illness, delayed flights).
4.4 Transfer of Booking
You may transfer your booking to another person for a fee of €25. Please notify us at least 4 weeks before the retreat.
5. Operator’s Cancellation Rights
Kelani Retreat reserves the right to cancel the retreat if the minimum number of participants (4) is not reached. In this case, notice will be given 4 weeks in advance. Full refunds will be issued, but Kelani Retreat is not responsible for additional costs (e.g. flights, visas, vaccinations, PCR tests, etc.).
6. Third-Party Services
Kelani Retreat is not liable for services provided by third parties (e.g. local tour guides, taxi services, excursions, snorkelling, surfing).
7. Travel Insurance, Health, Visas & Responsibility
Participants are responsible for:

Valid passport and entry visa

Comprehensive health and travel insurance covering retreat participation, cancellation, and accidents

Their own physical and mental fitness to attend the retreat

Consulting their doctor regarding necessary vaccinations
Travel to Sri Lanka may involve exposure to different hygiene standards, tropical climates, and wildlife. Kelani Retreat is not liable for any risks associated with travel.
8. Discounts
Only one discount or promotion can be applied per booking. Discounts must be requested at the time of booking and cannot be applied retroactively.
9. Force Majeure
Kelani Retreat is not responsible for cancellations or changes due to events beyond our control (e.g. natural disasters, political unrest, pandemics, travel restrictions). In such cases, we will offer rescheduling options where possible, but refunds may not be guaranteed.
10. Liability
Participation in the retreat is at your own risk. Kelani Retreat is not liable for injuries, illnesses, losses, or damages occurring during travel or at the retreat venue. You agree to sign a liability waiver upon arrival.
11.
Kelani will occasionally be taking photographs during acivities and at the house and by booking the retreat the customer agrees that these photos can be used for marketing purposes. However, photos will be handled carefully and the customer can choose to opt out, by informing Kelani.
12. Validity
These terms are valid from 25.06.2025 and may be updated. The version available on our website at the time of your booking applies.
13. Severability Clause
If any part of these Terms & Conditions is found invalid or unenforceable, the remaining provisions remain fully effective.
